How to setup Gmail templates

Are you tired of writing and sending the same email response to common questions that you receive in Gmail?  Well, you can make and save templates in Gmail and send a reply within seconds.  All you have to do is enable it and create a template for each common response.  But in order to create and use templates, you first need to enable them in Gmail.

How to enable templates:

  • Open your Gmail.
  • Click on the Settings (gear icon) at the top right corner and then “See all settings” in the drop-down menu.
  • Next click on the “Advanced” tab on the top menu bar.
  • Select Enable in the templates section.
  • Click on “Save Changes” at the bottom and save your change.

Now you are ready to create your first template.  You are able create and save up to 50 templates in Gmail.

To create a new template:

  • Open Gmail and then click on compose on the left.
  • Now compose a template as if you were writing an email.
  • When finished, click the more (three dots) at the bottom right beside the trash can.
  • Choose Templates – select Save draft as template – and then Save as a new template.
  • Enter the name for your new template and then click “save”.

Note: While creating your new template, if you use signatures in your email, then you will want to remove the signature line from your new template or your email signature will show up twice.

To make changes to a saved template:

If you need to change a previously saved template, click on compose on the left, click the more button, choose templates and then select the template that you want to edit.  Once the template is in the body, make your changes to it.  Once you’re done, click the more (three dots) at the bottom right, choose templates, select Save draft as template and then select the template that you edited.  You will be prompted to confirm that you want to overwrite the template, click save and it will overwrite old template with your new one.

Choosing a template to use to reply or compose an email:

  • Click on compose on the left for a new email or just click reply on the email if you are responding to one.
  • Click the more (three dots), then Templates, and then choose your template.
  • The template will appear in the email body as your new message.  You can edit it before sending it.
